  • Registration Data: When you register as a Visitor or book an Exhibitor space online, we collect your full name, email, phone number, company name, job title, country, and product interests.
  • Support Services Data: Information facilitating Visa Support procedures, Shuttle Bus shuttle registrations, and hotel room reservations (Accommodation) associated with the event.
  • Technical & Digital Interaction Data: Browsing logs via Cookies, IP addresses, activity on the HawaExpo Mobile App, and virtual tour interactions on the 3D Expoverse platform.

3. Purposes of Data Processing

We process your data based on the following legitimate purposes:

  • Verifying and approving visitor credentials, allocating floorplans for exhibition booths, and issuing entry tickets/badges at the SECC venue.
  • Delivering requested logistical support including Shuttle Bus coordination, Visa procedures, and hotel accommodation setups.
  • Sending exhibition updates, wood seminar invitations, online B2B business matchmaking, and showcasing Vietnam’s export-ready wooden furniture and handicrafts.
  • Improving technical service quality and optimizing user experience on our website, mobile application, and online virtual tour features.

4. Data Sharing & Disclosure

We strictly guarantee not to sell or exchange your personal data with third parties for their independent commercial purposes. Controlled data sharing may occur with:

  • Co-organizing and supporting Wood Associations: Handicraft & Wood Industry Association of HCMC (HAWA), Binh Duong Furniture Association (BIFA), Vietnam Timber & Forest Products Association (VIFORES), Dong Nai Wood and Handicraft Association (DOWA), and Forest Products Association of Binh Dinh (FPA) to promote business matchmaking and trade.
  • Authorized Service Providers: Shuttle bus operators, official partner hotels, IT infrastructure suppliers, and Visa service agencies.
  • Competent Public Authorities: Upon official legal request from the Ministry of Agriculture and Rural Development, the Ministry of Industry and Trade, or the HCMC Department of Industry & Trade in compliance with Vietnamese law.

5. International Data Transfers

HawaExpo is an international export gateway connecting buyers globally. To facilitate partner discovery, exhibitors’ business profiles and business contact information may be publicly displayed on our online exhibitor directory.

Outbound transfers of personal data for international buyers and exhibitors will be strictly protected by equivalent legal mechanisms, including Standard Contractual Clauses (SCC) under the EU GDPR and privacy commitments under Vietnam’s Decree 13/2023/NĐ-CP.

6. Data Retention Period

We only store your personal data for the duration necessary to fulfill the exhibition purposes outlined in this policy, or until we receive a valid erasure request from you, unless otherwise required by law for statutory tax, financial auditing, or administrative reporting obligations.
